Steps for Planning a Motorcycle Poker Run

Motorcycle poker runs are a popular fundraising or social event where participants ride a set route, stopping at various checkpoints to collect playing cards. At the end of the ride, there’s usually a party and the rider with the best poker hand wins a prize.  It may seem easy, but there’s A LOT more to hosting a successful poker run.  It requires careful organization, attention to detail, and a clear plan that you can share to your entire team.  And yes, you need a team.  Below are a few tips and basic steps to guide you through the process.

Step 1: Define the Purpose and Set Goals

  • Set clear goals, such as fundraising targets or expected number of participants.
  • Even if it seems obvious, it’s important that you clearly identify your goals so that everyone is clear as to what the goals are.  What would constitute a successful event?

For instance is the goal to have a fun event with a lot of riders?  Or is it to raise a certain amount of money?  Which is more important?

Step 2: Assemble a Planning Team

  • Recruit volunteers or club members to assist with logistics, registration, safety, and promotion.  Don’t try to do it yourself. 
  • Create a Board and assign specific roles (route planning, sponsorship coordination, checkpoint management, etc.).

Step 3: Plan the Route and Checkpoints

  • Map out a safe and scenic route suitable for motorcycles, considering distance and riding time (usually 60–100 miles).
  • Select five checkpoints, including start and finish locations, where riders will draw cards.  Make sure that each stop brings something to the table.
  • Obtain necessary permissions from local authorities if public roads or venues are used.

Step 4: Secure Venues and Sponsors

  • Contact local businesses (bars, restaurants, dealerships) to host checkpoints and offer support.
  • Seek sponsorships or donations for prizes, refreshments, or event costs.
  • Every Ride Stop should contribute something to the Ride – promotional support, riders, food, or cash sponsorship.  Don’t be afraid to ask for something.   

Step 5: Develop Rules and Logistics

  • Establish clear rules for card draws, hand rankings, and tiebreakers. Set registration fees and determine what is included (e.g., t-shirt, meal, extra cards).
  • Plan for rider safety, including route maps, emergency contact info, and first-aid kits.

Step 6: Promote the Event

  • Create flyers, social media posts, and email campaigns targeting local riders and clubs.
  • List the event on community calenda and motorcycle event websites.

Step 7: Prepare Materials and Volunteers

  • Gather playing cards, score sheets, registration forms, and signage for checkpoints.
  • Train volunteers on their roles and review event procedures.

  • Step 8: Host the Poker Run
  • Set up registration and provide instructions to participants on the day of the event.
  • Monitor the route and checkpoints for safety and logistics.
  • Collect cards at the finish and determine the winning poker hands.
  • Award prizes and thank participants, sponsors, and volunteers.

Step 9: Follow Up After the Event

  • Send appreciation messages to sponsors, volunteers, and attendees.
  • Report on funds raised and share event highlights with your community.
  • Gather feedback for future improvements.
